01 — Where it started

Vitality was a new home care agency. The ads were doing their job and the phone was ringing. The problem was on the other end of the line: a small team busy caring for clients, with no one free to answer. In home care, the caller is often an adult child arranging care for a parent, and when that call goes to voicemail, the next agency on the list gets its chance.

02 — What was really going on

This wasn’t a lead problem, so more ads would not fix it. Every unanswered call was ad money already spent. The fix was making sure the calls the ads were already paying for got answered, every time.

03 — What I did

  1. 01

Built the front end. The website and the ads that generated the calls.

  2. 02

Built the AI receptionist. On VAPI, with ElevenLabs for a natural voice, Deepgram for transcription and GPT-4o for the conversation.

  3. 03

Connected it to the business. N8N automations route each call’s details into GoHighLevel, so staff work from a record and a next action instead of a voicemail.

  4. 04

Built for healthcare. A business associate agreement is in place, because health information is involved.

04 — The call that mattered

Treating the phone as part of the marketing. A receptionist that answers at any hour turned ad spend that was leaking into voicemail into booked clients.

05 — What changed

  • 13 of 23 leads became new clients.
  • $107 in ad spend per new client.
  • 22 missed calls recovered in the first 14 days the receptionist was live.
  • Sample months on the receptionist dashboard: 24 calls answered in June 2025 and 22 in November 2025, all scored positive.
“Our missed-call rate has dropped to zero, which has directly boosted our revenue.”
Eric, Vitality Home Healthcare
